What You'll Need Before You Start
- Access to AthleTech
- The order name you're looking for — for bulk orders, this is typically the name of the bulk sheet
- The program name, if you're searching on-demand orders
- The client's in-hand date, so you can compare it against the order's must ship date
Step 1: Open the Orders Tab
- Log in to AthleTech.
- Go to the Orders tab.
- Choose the order type you want to review:

Step 2: Clear Your Filters First
AthleTech keeps filters applied between searches. If an order, report, or result you expect to see isn't showing up, clear the filters before doing anything else.
Don't panic: If you can't find an order and start to worry it was never submitted, clear the filters first. A leftover filter is very often the reason an order seems to be missing.
Step 3: Search for a Bulk Order
You can search and filter bulk orders several ways:
- Date or date range
- Order name (typically the bulk sheet name)
- Program name
- When the order was submitted
For example, type a partial order name such as fishhawk to pull up every bulk order for that program, then scroll to the order you placed.
Step 4: Review the Order's Key Dates
Each bulk order lists several dates. The two that matter most:
|
Date |
What It Means |
|---|---|
|
Client In-Hand Date |
The date the client needs the product in hand |
|
Must Ship Date |
The date the order must leave the vendor to hit the in-hand date |
You'll also see the shop number, the date the bulk order was submitted, the piece count, and whether the order is a rush.
Red flag: If the must ship date is today (or has passed) and there's still no tracking on the order, reach out to production right away for an update.
Step 5: Check the Assigned Vendor and Tracking
Before you read a tracking link, look at the Assigned Vendor. The vendor tells you where the order goes next — and whether the tracking link goes straight to the client or to MakeMine first.
|
Assigned Vendor |
Where the Tracking Link Points |
What Happens Next |
|---|---|---|
|
Graphic Empire |
Directly to the client |
Nothing — the client receives the order from this shipment |
|
Compression Sports |
To MakeMine |
Once it arrives at MakeMine, the order ships out to the client in a second shipment |
Once an order ships, its status updates and the tracking link appears on the order.
Tip: Orders routed through MakeMine need an added time buffer, since they have to travel from the vendor to MakeMine and then from MakeMine to the client. A delivered tracking link on a Compression Sports order does not mean the client has their product yet.
Step 6: Look Up On-Demand Orders
On-demand orders are primarily tracked by Production and Operations, but you should still know how to find one and confirm it's showing up in AthleTech correctly.
- Open the on-demand Orders tab.
- Scroll right to the Team Name column and enter the program name to filter (for example, Mary Mac or JAWS).
- Optionally, filter by date to narrow to recent orders (for example, orders from this week or this month).
Step 7: Read the On-Demand Order Details
AthleTech pulls everything production needs for each piece. Key fields to understand:
|
Field |
What to Check |
|---|---|
|
Package SKU |
Must match the SKU in Shopify exactly |
|
Artwork |
Should be linked to the SKU — if it's blank, the artwork is missing |
|
Size, Player Last Name, Player Number |
Should pull through from the order |
|
Customization |
Shows the customization type (e.g., Name and Number) and the values that came through |
|
Assigned Vendor |
The factory the order is going to (e.g., Graphic Empire) |
|
Product / Style ID |
The product IDs for each piece |
Missing artwork alerts
When production (Kelsey or Jordan) flags missing artwork, it usually means the SKU is listed in AthleTech but has no artwork linked. That typically points to a ZiFlow issue that needs to be investigated.
On-demand orders follow the standard 21-day production timeline.
Best Practices
- Clear your filters any time an order seems to be missing.
- Check the must ship date on your open bulk orders — no tracking on or after that date means it's time to contact production.
- Always check the assigned vendor before telling a client their order has shipped or arrived.
- Build in extra time for orders that route through MakeMine.
- Make sure package SKUs match Shopify exactly to avoid missing-artwork issues on on-demand orders.
- If artwork is missing from a SKU, start your investigation in ZiFlow.
