# Shopify: How to Generate a Program Director Report

## Learn how to pull a Program Director (PD) report from Shopify using Better Reports — including how to export an existing report and how to build a new one for a program that doesn't have one yet.

#### **What You'll Need Before You Start**

- Access to Shopify
- The **Better Reports** app added to your Shopify sidebar
- The client's Program ID (for example, 0725)
- The date range the program director wants the report to cover

### **Step 1: Open Better Reports**

1. Log in to Shopify.
2. On the left-hand side, find **Better Reports** under Apps and click into it.
3. If you don't see it, search "Better Reports" in the Shopify search bar and add it to your sidebar.

### **Step 2: Find the Program's Existing PD Report**

1. In Better Reports, open the **Custom Reports** list on the left-hand side.
2. Look for the program's report. If Signature has worked with the program before, a PD report has almost always already been created.
3. Click into the report. The top of the report shows the date range and the Program ID the report is tied to.

**How it works:** The report pulls every order tagged with the program's Program ID within the selected date range. For example, the 30A Bird Dogs report is tied to Program ID **0725** — any order tagged 0725 in that window appears on the report. If an order is missing its Program ID tag, it won't show up.

### **Step 3: Adjust the Date Range**

1. Click the date range at the top of the report.
2. Choose a preset time frame (for example, **Year to date**) or pick custom dates from the calendar.
3. Wait for the report to reload with the new dates.

### **Step 4: Export the Report**

1. Once the report has loaded, click **Export**.
2. Click **Download**.
3. Send the downloaded file to the program director.

### **Step 5: Create a New PD Report (New Programs Only)**

New programs and new SPPs won't have a PD report yet. Create one once their season starts and orders begin coming through. The easiest method is to use an existing report as a template.

1. Open any existing PD report (for example, the 30A Bird Dogs report).
2. Scroll down to the **Program Director tag** filter and edit it.
3. Replace the existing Program ID with the new program's Program ID (for example, change 0725 to 0793).
4. Click **OK** and wait for the report to refresh with the new program's orders.
5. Confirm the date range is correct for the new program.

**Important:** At this point you're still inside the original template report — the data has changed, but the name hasn't. Do **not** click a regular Save, or you'll overwrite the original program's report. Always use **Save as** (Step 6).

### **Step 6: Save the New Report Under the Program's Name**

1. Click **More**, then **Save as**.
2. Rename the report to the new program's name (for example, "Marietta Youth Soccer").
3. Click **Save**. The new report will now appear in the Custom Reports list.

| Scenario | What to do |
| --- | --- |
| Returning Program | Open the existing report, adjust dates, export |
| New Program / New SPP | Copy an existing report, swap the Program ID tag, Save as the new program's name |

#### **Best Practices**

- Check the Custom Reports list before building a new report — 9 times out of 10 one already exists.
- Always use **Save as** when building from a template so you don't overwrite another program's report.
- Name reports with the full program name so they're easy to find later.
- Double-check the Program ID and date range before exporting.
- Build reports for new programs as soon as their season starts and orders begin coming in.
